How Arrival Point Software collects, uses, and protects information about residents, guests, staff, and officers across the communities we serve.

Arrival Point Software ("Arrival Point," "we," "us," or "our") provides gate, security, and resident management software used by homeowners associations, property managers, and gated communities (each, a "Community") to manage visitor access, security operations, and resident services. This Privacy Policy explains what information we collect through our admin console, officer console, resident portal, and native iOS application (together, the "Services"), how we use it, and the choices available to you. If you are a resident, guest, staff member, or officer interacting with a Community that uses our Services, this policy applies to you.
Because our Services are typically licensed to a Community's management company, HOA board, or property management team (a "Customer"), that Customer controls certain settings and decisions about the data processed on its behalf. Where relevant, we note where the Customer — rather than Arrival Point — is responsible for a particular choice.

This policy does not cover third-party websites or services that may be linked from the Services, or the privacy practices of a Community's management company or board that are independent of our Services.
When a resident (or a Community on a resident's behalf) sets up an account, we may collect:
When a resident invites a guest, or a guest arrives at a gate, we may collect the guest's name, vehicle information, phone number (if provided), the purpose and duration of the visit, and a photograph captured by gate cameras at check-in, consistent with standard gated-community security practice.
Officers and staff generate records in the ordinary course of securing a Community, including entry and exit logs, BOLO ("be on the lookout") and do-not-admit entries, patrol checkpoint scans and photos, house-check logs, alarm-monitoring call and dispatch records, incident reports, and shift handover notes. Staff account activity (logins, edits, and actions taken in the Services) is also recorded as part of our audit trail (see Section 6).
The Services include record-keeping tools that let a Community track dues, assessments, and payments received. These features are provided as a bookkeeping convenience and do not themselves process live card or bank transactions; any payment recorded in the Services reflects information entered by the Community or resident about a payment made through another channel. We do not collect or store full payment card numbers through these record-keeping features.
Like most software, we automatically collect limited technical information when the Services are used, such as IP address, browser or device type, operating system, pages viewed, and timestamps of activity, for the purposes described in Section 3.
We use the information described above to:
We do not use resident, guest, or staff information to serve third-party advertising, and we do not build advertising profiles from data collected through the Services.
We retain information for as long as needed to provide the Services to the applicable Community and for legitimate business, security, and legal purposes described below.
Other categories of information, such as a resident's contact details, vehicle and pet records, or portal preferences, are generally retained for as long as the resident's account is active with the Community, and for a reasonable period afterward to comply with the Community's own recordkeeping practices, resolve disputes, and enforce agreements. When a Community terminates its use of the Services, we retain data for a limited transition period to allow for export or migration, after which it is deleted or de-identified except where retention is required by law or by Section 4's treatment of security logs.
We do not sell personal information. We share information only in the following circumstances:
We do not share resident, guest, or staff information with unrelated third parties for their own marketing purposes.
We maintain administrative, technical, and physical safeguards designed to protect information processed through the Services, including:
No system can guarantee absolute security. If we become aware of a security incident affecting personal information, we will notify affected Communities and individuals as required by applicable law.
Depending on your location and relationship to a Community, you may have rights to access, correct, or request deletion of certain personal information we hold about you. Because most information in the Services is entered and controlled by your Community (for example, your HOA board or management company), we ask that you first direct requests to your Community, who can action many changes directly, or route the request to us on your behalf. You may also contact us directly using the details in Section 12, and we will coordinate with the relevant Community as needed.
Residents can review and update most of their own information — contact details, vehicles, pets, guests, and emergency contacts — directly within the resident portal or iOS app. For information you cannot edit yourself, contact your Community or us for assistance.
You may request deletion of personal information associated with your account, subject to the following limits:
We do not send third-party marketing to residents through the Services. Service and account-related notifications (approvals, alerts, community announcements) are part of the core functionality of the resident portal and iOS app and cannot be opted out of while your account remains active, though push notifications can generally be managed through your device settings.
The web-based portions of the Services (admin console, officer console, and resident web portal) use strictly necessary cookies to keep you signed in and to remember basic preferences. We may also use limited, privacy-conscious analytics to understand aggregate usage of the Services (for example, which features are used most) so we can improve them. We do not use third-party advertising cookies or cross-site tracking technologies on the Services.
The Services are intended for use by adult residents, property management staff, officers, and their Communities. Household member information for minors may be entered by a parent or legal guardian as part of managing their household (for example, listing a minor as a household member or emergency contact), but the Services are not directed at children, and we do not knowingly collect account credentials or direct submissions from children. If you believe a child has provided us with personal information other than as part of a parent or guardian's household management, please contact us using the details in Section 12.
Arrival Point Software is designed for Communities located in the United States, and our infrastructure and support operations are based in the United States. The Services are not currently offered or intended for Communities or residents located outside the United States, and this policy is written with U.S. legal requirements in mind. If you access the Services from outside the United States, you do so with the understanding that your information will be processed in the United States.
We may update this Privacy Policy from time to time to reflect changes in the Services, our practices, or legal requirements. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify affected Communities. Continued use of the Services after a revised policy takes effect constitutes acceptance of the changes.
